What are your hours of operation?

We are open M-F 8:00 am until 5:00 pm, closed Saturday, with limited 10:00 am to 2:00pm catch-up hours held Sundays. Closed major holidays, unless otherwise noted.

What services does Wayfarer Agency Offer?

We offer creative services including web design, graphic design, photography, video & motion pictures, podcast and online content development and production, content production management, copywriting & SEO. Not only can we develop the content you need, we partner with other creative services to render deliverables for any project and any scale.

Who are your ideal clients?

At WAYFARER AGENCY, we are interested in working with businesses at any scale; from cottage to corporate. We have experience working in many industries, from Automotive and Tech, to Apparel and Design. It is our aim to attract clients interested in a fresh approach to the creative process and a collaborative relationship.

 
 

How do I book your services?

To start, reach out to us via the contact form. Please share information about your project needs. We will get in touch within 24 hours to schedule a free 30-minute consultation–available over Zoom if you prefer. How do projects typically go?

As smoothly as possible! After our initial consultation, if we both agree the project is a good fit, you will receive a treatment including a scope of work and quote for services. There may be a need to massage it to balance the particulars, however once we both feel that balance we move on to that quintessential part of any business: paperwork. We make it easy, a client intake form, the necessary clearances and non-diclosures, a rental agreement if needed and a service contract. Ancillary provisions, such as travel and accomodations, shipping A deposit of 35-50% may be required, depending on the project. The work begins on the decided date. Services and revisions depend on the type of project we are collaborating on.

Booking for crewing on a larger project (1st AC, 2nd AC, Operator and DP) positions follow industry-standard practices.

What do your fees include?

We employ a modular approach to our creative service offerings. Every service offered has a base price that can be adjusted based on a given project’s scope-of-work. Depending on the exact nature of the project, fees typically include but are not limited to: any creative session or meetings, development such as writing, proofreading, testing and/or design; Web design, coding and webpage layouts; production management, location scouts, video scripting, casting, equipment prep; shoot days, plus any finishing such as editorial, revisions, colour-correction and post-production. Should any ancillary needs arrive that significantly change the project scope, we are always happy to discuss them and revise the scope-of-work to best benefit our collaboration and the project.

What are your payment terms?

Payment terms are subject to the nature of the project and will be outlined in writing at the time of the service contract signing. Most creative services offered will require a deposit up front of 35-50% to be deducted from the total fee quoted for services rendered. During the course of the project, payments are due after the satisfactory completion of project milestones (ideally, NET15 or NET 30) and within four days of invoice. On a budget? Not to worry, we are open to working with you and may be able to offer more flexible payment terms on a discretionary basis.

For crewing, industry-standard rates apply (NET30/8. NET30/10, NET30/12) Camera prep days are 4 hours minimum. Travel days are billed at one half-day. Half-day rates are not available for shoot days.

What forms of payment do you accept?

We accept FDIC insured cashier’s cheques, business cheques, direct deposits, credit cards and secure online payments via Square.

Do you offer pro-bono or in-trade work?

We believe giving back to the community is of vital importance. As such, we do keep two pro-bono slots open per-month for charities and 501(c)(3) non-profit organisations. Work-in-trade may be considered on a discretionary basis.

If a project is delayed, what is your cancellation policy?

The unexpected happens. If you should need to delay a project for any reason you may absolutely do so at any time before the service contract signing without penalty. If the service contract has been signed and the project is delayed, the project will be placed on a work-hold status for up to 30-days. The 35-50% deposit will be retained during this period, however no other fees or charges will accrue. If the project restarts within that 30-day period work will resume with the original scope-of-work and fees agreed to in the service contract. If the project restarts and scope-of-project needs to be significantly changed, a new scope-of-work and a new service contract can be established. A second deposit may not be required and may be waived in this instance depending on the degree of change(s) required to the scope-of-work. We reserve the right to determine this on a discretionary basis.

What are your intellectual property provisions?

Any project materials provided by our clients, such as product samples, prototypes, marketing copy, white-papers, technical writing, instructions, and design elements will remain the sole property of the client. Any materials produced at-will by Wayfarer Agency pursuant to a signed service contract between us and our clients will also be the intellectual property of the client so long as payment for services rendered has been made in full. Wayfarer Agency does reserve the right to limited use of any and all intellectual property (e.g. photography, video, web design) created by us in our portfolio. Usage rights for Photography and Video not used in project deliverables by the client, such as raw photos, B-Roll, or alternate takes may be retained by Wayfarer Agency for stock purposes.

How will cancellations affect intellectual property?

Sometimes it doesn’t work out and that’s okay! Should you decide to cancel the project for any reason, all assets provided by the client will be promptly returned. Non-disclosure agreements will remain in effect. Every client has a right to all raw assets and project deliverables produced by Wayfarer Agency upon express written request, once fees for the production of such assets have been paid.

Will you store project assets or deliverables indefinitely?

We will store all raw assets and project deliverables for up to 60 days. After 60 days these data will be deleted form our servers to make room for other projects. We recommend clients plan on providing a means of storage to retain a copy of projects assets and deliverables upon the completion of every project. All clients will be notified 14 days prior to data deletion.

Do you have equipment available for rent?

We have a growing rental inventory available. Please see our rental inventory for the latest information.

What is your equipment rental policy?

In order for equipment to be rented, Wayfarer Agency must be provided with a valid insurance certificate as per our rental terms & conditions. All equipment is rented at a set rate per item, per-day. Beginning on the shooting days for a given project. Once rented equipment is taken into your possession it is considered “rented,” even if the equipment is not used on the shooting day. Equipment is due by 10 am on the day after your shoot wraps. Late equipment will be charged at the full rate per-day until returned. If we crew you on a shoot produced by another entity, is your rental equipment included in your day-rate?

No, all rentals will be negotiated at the time of booking and will be subject to the specified rental fee per shooting day.

Will you travel for shoots?

Absolutely! Seeing the world is a key motivator; we keep our passports valid and will happily travel for any project. We recommend all travel arrangements, including reimbursements, be negotiated during the Scope-of-Work session.

Do you offer remote services?

At present remote services are 90% of what we do and we are set up to work remotely on your project in a way that is both efficient and comfortable, using Basecamp for Project management, Zoom for meetings and conferences, Acuity for scheduling and Square for payments and eCommerce support.

Do you offer training or work-study credits?

We do no currently offer a formal training or work-study program, however plans are in development to make these opportunities available. Please check back for more information soon.
